Frequently Asked Questions

Everything you need to know about submitting to Arts to Hearts Project open calls.

Tips for Submitting Successfully

What should I know before submitting?
+
  1. Read the open call brief fully before applying — most rejections happen due to missed eligibility or theme misalignment.
  2. Prepare all materials in advance — bio, artist statement, artwork details, and correct image files.
  3. Use high‑quality, well‑lit images; include detail views if needed for texture or 3D work.
  4. Meet technical specs — JPG/PNG, 2000px min. on the longest side, 300 DPI preferred.
  5. Save drafts if you need to return later and check saved work before exiting.
  6. Mind deadlines & time zones — EST unless stated otherwise.
  7. Submit early to avoid last‑minute upload/payment issues.
  8. Craft a clear artist statement linking your work to the theme.
  9. Double‑check spelling, names, titles, and artwork info as you want them printed.
  10. Engage with the community — tagging Arts to Hearts can increase your visibility.

General Eligibility

Who can submit through the portal?
+

Any artist 18+ years old worldwide. While many calls focus on women and non-binary creators, some welcome all genders — always check each open call's eligibility section to confirm before submitting.

Is there an upper age limit?
+

No — we welcome artists at every stage of life and career, from emerging to veteran. Artistic quality and thematic fit matter far more than age.

Do I need formal education or gallery representation?
+

No. We accept self‑taught, formally trained, independent, and gallery‑represented artists alike — the strength of your submission is what counts.

Can I apply if I've participated before?
+

Yes. Each call is judged independently, so previous participation doesn't influence current selection. Many artists are featured multiple times.

Can I submit collaborative or group work?
+

Yes — all collaborators must be fully credited in the form exactly as you want them published. This avoids misattribution later.

Can I submit sold or previously exhibited work?
+

Yes, as long as you retain reproduction rights. If sold through a gallery, check your sale contract before submission.

Artwork & Files

What file formats are accepted?
+

JPG or PNG only. Other formats (TIFF, PDF, HEIC) won't upload in the portal.

What is the minimum quality required?
+

At least 2000px on the longest edge, preferably 300 DPI. This ensures the image will print clearly in our books and magazines.

Can I add watermarks or text to images?
+

No. Watermarks distract from the work and can affect jury perception. You remain credited in all uses, so they aren't necessary.

How many images per artwork should I upload?
+

Depends on the call's needs and your choice. Typically 1–3 — one full view plus optional close‑ups or installation shots to give jurors a complete view.

Do you accept 3D, installation, or video works?
+

Yes. Provide clear documentary images from multiple angles, plus video links for moving or immersive works.

Submission Process

How do I submit?
+

Select an open call → choose the tier (artworks) → pay the fee → complete the form with details → upload images → submit. Follow the call's checklist to ensure you include everything.

Can I save my application and finish later?
+

Yes — drafts can be saved in your dashboard until you're ready to submit. Always confirm your draft is saved before logging out.

Can I edit my submission after payment?
+

Yes, but only until the call deadline. Once the portal closes, your most recent saved version is final.

I didn't receive confirmation after submitting.
+

First, check spam/junk mail and your portal dashboard. If neither shows confirmation, email us with your payment receipt before the deadline so we can assist.

Fees & Payment

Why are there submission fees?
+

They fund juror and editor pay, print production, design, distribution, and platform maintenance — ensuring a professional final product and fair review process.

How much are the fees?
+

They vary by tier and deadline stage — can be as low as $1 USD for certain offers. For example, one work might be $12, three works $35. See each call's pricing table.

Are fees refundable?
+

No. Fees are non‑refundable once paid since review and admin work begins immediately.

Do you offer discounts?
+

Yes — Early Bird rates, multi‑artwork discounts, occasional promo codes, and hardship waivers for those who qualify.

What payment methods are accepted?
+

Major credit/debit cards and PayPal (in selected regions). All payments are processed securely.

Selection & Notifications

Who reviews submissions?
+

A panel of curators, guest jurors, and editorial staff — chosen to fit the specific open call's theme and scope.

What are the selection criteria?
+

Creativity, originality, technical skill, and clear alignment with the call theme or concept.

When will I hear back?
+

Generally 4–8 weeks after the call deadline. Timelines are always stated in the open call page.

How will I be informed?
+

You'll receive results by email, see them in your portal dashboard, and find selection lists on Arts to Hearts' website and social channels.

Will I get jury feedback if rejected?
+

While full critiques aren't possible for the volume we receive, we aim to share some feedback, resources, and invitations to future opportunities as the platform grows.

Rights & Usage

Do I keep copyright of my work?
+

Yes, you retain full rights. Arts to Hearts only has permission to reproduce in our publications and promotion with proper credit.

Can I sell or exhibit works after submitting?
+

Yes — your rights to sell and show elsewhere remain unaffected by publication.

Will my work be altered for publication?
+

Only minimal formatting adjustments, such as cropping for layout. The artwork itself remains unchanged.

Technical & Support

What if my file won't upload?
+

Confirm it's JPG/PNG, within the size limit, and check your connection. Try another browser if needed; contact support early if still stuck.

Can I submit by email if the portal fails?
+

Only in confirmed technical failure cases reported before the submission deadline.
